National resource operations

A listing must be traceable, current, and removable

SynquUp’s national resource standard defines which sources may support a record, who owns it, how often it is checked, how duplicates are resolved, and when a record is removed from active results.

A note from Chuck: A directory result should help someone take the next step—not create false confidence. Call first, confirm the service, and use the backup route when the first listing cannot help.

Source hierarchy

Use the strongest available evidence

1

Official first-party

Government, health system, program, licensed provider, pharmacy, research registry, or organization-owned service page.

2

Responsible aggregator

A documented directory may supplement—not silently replace—the organization that controls the service.

3

Direct confirmation

Record the authorized contact, confirmation date, confirmed fields, and any limits when direct verification is used.

4

Unresolved

Do not present uncertain service, eligibility, coverage, availability, or contact details as verified facts.

5

Retired

Remove closed, unsafe, materially misleading, or unverifiable records from active results while retaining an audit history.

Verification cadence

Risk and volatility set the recheck schedule

Record typeRoutine recheckEvent-triggered recheckOwner
Emergency, crisis, urgent clinical, medication-access, or time-limited programAt least every 30 daysImmediately after an alert, complaint, source change, outage, or failed routeClinical/program owner plus data steward
Eligibility, coverage, enrollment, trial status, transportation, shelter, food, and other high-change servicesAt least every 90 daysAt open-enrollment changes, expiration, relocation, policy update, or correction reportProgram owner plus data steward
Provider, facility, accessibility, language, telehealth, and referral detailsAt least every 180 daysAfter returned calls, closed location, ownership change, or material user reportDirectory operations owner
Stable national education and general organizational resourcesAt least annuallyAfter source revision, link failure, superseding guidance, or material correctionEditorial/source owner

These are prototype operating standards. A verified live-data program, contracts, staffing, and qualified review remain required before national completeness can be claimed.

Required record

Every active resource needs an auditable core

Identity

Stable record ID, organization, program, service type, controlling organization, source URL, source type, and responsible owner.

Geography

Nationwide, state, territory, tribal, county, city, radius, virtual, mobile, or location-specific coverage—never inferred from a mailing address alone.

Access

Population, referral, appointment, documents, cost, insurance, language, disability access, hours, telehealth, transportation, and contact details with field-level verification.

Freshness

First seen, last verified, next review, effective and expiration dates, verification method, reviewer, status, and unresolved fields.

Deduplication and coverage

One service record, multiple transparent locations

Duplicate decision order

  1. Match the controlling organization and program identity.
  2. Compare normalized name, address, phone, domain, service area, and source identifiers.
  3. Keep separate location records when access, hours, services, or contact routes differ.
  4. Merge only after field conflicts are resolved and the surviving record retains source history.
  5. Record the merged IDs, reviewer, date, and reason.

Coverage reporting

  • Report populated and unpopulated states and territories separately.
  • Measure rural, frontier, tribal, virtual, and disability-access coverage.
  • Do not treat “no result” as proof that no service exists.
  • Show the date and source scope behind coverage claims.
  • Always offer a nationwide or official backup route when available.

Patient and caregiver education

Clinical instructions remain with the qualified source

SynquUp may identify, organize, label, and link education. It does not recreate, abridge, combine, translate, or clinically reinterpret third-party how-to instructions.

1

Exact match

Match the product, brand, device, model, formulation, population, and U.S. instructions. Similar is not interchangeable.

2

Source owner

Use FDA-approved labeling, a product manufacturer, government agency, specialty association, or qualified health system.

3

Safety level

State whether the resource is general orientation, requires professional confirmation, or requires hands-on training.

4

Rights method

Default to a canonical outbound link. Use an embed, logo, image, PDF, transcript, translation, or other copied asset only with an applicable license or documented authorization.

5

Close the loop

Provide the clinician, pharmacist, educator, manufacturer, or emergency route to use when the resource is not enough.

Correction and retirement

Failed records leave active results

01

Flag

A failed link, returned contact, complaint, source conflict, expiration, or automated check opens review.

02

Suppress

Safety-critical, closed, expired, or materially misleading records are removed from active matching during review.

03

Verify

Check the controlling source and authorized contact; record each field confirmed or unresolved.

04

Correct or retire

Publish the supported record or retain it only in audit history with the reason and date.

05

Propagate

Check related locations, Hubs, articles, FAQs, saved inventories, and backup routes for the same defect.
